Business Portal Module
Electronic Signatures
Legally binding e-signatures built into every module. Send a document for signature from Contracts, HR, or anywhere in the portal — no DocuSign account needed. Every completed signing generates a Certificate of Completion with full audit trail, suitable for filing with courts, clerks, or client records.
Features
- ✓ Legally binding under ESIGN (15 U.S.C. § 7001) and UETA — cites the statutes on the certificate
- ✓ Send for signature from Contracts, HR, Projects, or any module
- ✓ Internal signers: click to sign right in the portal — no email link needed
- ✓ External signers: secure email link with 6-character signing code (no portal account required)
- ✓ Draw or type signature on any device, including mobile
- ✓ Certificate of Completion appended to the final PDF — includes each signer's name, timestamp, IP address, and signature image
- ✓ SHA-256 document hash on the certificate — proves the document wasn't altered after signing
- ✓ Version tracking — upload revised documents, see the full signing history
- ✓ Decline option with instant notification to sender
- ✓ In-app bell notifications + email for every signing event
How it works
- 1. Upload a PDF to any Contracts record (or any module with signing enabled)
- 2. Add internal signers (from your employee list) and external signers (name + email)
- 3. Click Send — notifications go out immediately
- 4. Signers click their link, review the document, draw or type their signature
- 5. When everyone signs, the final PDF is generated with the Certificate of Completion appended
- 6. Download or file the completed PDF directly from the portal
Certificate of Completion
Every completed signing generates a final PDF that includes all original document pages plus a professionally formatted Certificate of Completion page. The certificate includes each party's name, email, signed timestamp, IP address, and signature image. Cites ESIGN and UETA. Includes a SHA-256 hash of the original document for tamper verification. Suitable for printing and filing with courts, clerks, or retention in client files.
